Claims and policy desk for insurance brokers.

Clients reporting a claim, asking for a green card or changing an address reach a desk that answers at once, records the facts and passes the file to the right handler.

Short answer

For insurance brokers and advisers, an AI receptionist answers calls, WhatsApp and email from existing clients, records a first notice of loss with date, place, photos and parties involved, sends policy documents such as a green card or certificate on request, logs routine changes (address, vehicle, IBAN) for processing and passes claims and anything about cover to a handler. It never confirms cover or settles claims. ORVL builds it from €3,900 excl. VAT.

The problem

Why insurance brokers look at ai receptionist.

After a car accident or a burst pipe, clients call their broker first. If they get voicemail, they call the insurer directly or decide the broker is not much use, and the broker loses the moment that defines the relationship.

Most other contacts are routine: a copy of the policy, a green card before a holiday, a new address. Each takes a few minutes, but together they keep account managers away from renewals and advice.

Integrations

Systems it works with.

Policy and client data come from the broker system; in the Netherlands often ANVA, using SIVI data standards.

ANVA or your broker administration system
WhatsApp Business Platform
Phone line with voice agent
Secure document delivery
Insurer claim portals (used by handlers)
Guardrails

Where a human decides.

Whether something is covered is a regulated judgement, not a chatbot answer.

Never confirms or denies cover, and never advises on a claim
Documents sent only after the client is verified
Injury, theft and fraud-sensitive claims passed to a handler immediately
Policy changes with premium impact processed by staff
Measuring it

How you know it works.

Measure: claims reported to the broker rather than directly to insurers, time to first handler contact, and document requests handled without staff.

Example with assumed numbers: an office receives 15 document requests and 4 claim reports a day. If the agent handles the documents end to end at 5 minutes each, that is over an hour a day back for account managers.

The example uses assumed numbers to show the method. It is not a client result or a promise.

Honest fit check

When this is not the right build.

If your clients are large corporates with a dedicated account manager each, they will expect that person, not an agent.

FAQ

Common questions.

Can clients upload accident photos via WhatsApp?

Yes. Photos and documents are attached to the claim file; they are not assessed by the AI.

What about the European accident statement?

The agent can send the form or a link and record that it was completed. Filling in liability is up to the client and the handler.
