Two tools, two philosophies.
Cal.com is open source and can run on your own server, which some clinics and regulated firms prefer for data control. Its API lets an agent read event types and availability and create bookings directly, so the customer never has to leave the chat.
Calendly is the tool many teams already pay for. Its API v2 and webhooks tell the agent when an invitee books, reschedules or cancels; creating a booking is usually done by sending the person a one-off scheduling link. We work with whichever you use.
What agents do in Cal.com and Calendly.
Slots offered in WhatsApp or web chat, booked without sending people to another page where the API allows.
Before each call, a summary of who booked, what they asked and their CRM history.
A polite reschedule message after a missed meeting, sent or drafted by your rules.
Leads sent to the right person's calendar based on language, region or deal size.
Every booking and cancellation written to HubSpot, Pipedrive or your CRM.
How access works.
Calendars reveal a lot about people's days, so access stays narrow.
What it costs.
All prices excl. VAT. "From" covers a standard scope; your fixed quote comes from the Blueprint. Model and messaging fees (for example WhatsApp per-message charges from Meta) depend on volume and are estimated in the Blueprint.
Common questions.
Calendly or Cal.com?
If Calendly works for you, keep it. Cal.com is worth a look when you want self-hosting, deeper booking control from an agent, or to avoid per-seat costs. Check both vendors' current pricing pages.
Can it book directly in Outlook or Google Calendar instead?
Yes, through Microsoft Graph or the Google Calendar API, which is what we often do for clinics with a single shared calendar.
Does Calendly's free plan work?
Webhooks are not available on Calendly's free plan as far as its documentation shows; without them the agent can only send links, not react to bookings. We confirm against your plan.
