Real estate: automate this first.

Agencies are tempted to start with clever things, such as AI valuations or listing copy. The money is usually in something plainer: answering every enquiry fast and booking the viewing.

Short answer

Most estate agencies should automate the first response to new enquiries first: every portal, website and WhatsApp lead answered within minutes, qualified with a few questions and offered a viewing slot. Second comes viewing scheduling and reminders, third the follow-up of older leads who never booked. Valuations, offers and negotiations should stay with your agents, and in Dubai any listing detail the agent repeats has to match your permitted advertising.

Order of play

Five candidates, ranked.

RankWorkflowWhy here
1First response to new enquiriesLeads enquire with several agencies at once; speed decides who gets the conversation. Easy to measure.
2Viewing scheduling and remindersMany back-and-forth messages per viewing; reminders reduce no-shows.
3Follow-up of older leadsYour database holds buyers and tenants who went quiet; a personal check-in, sent with approval, reopens some.
4Weekly pipeline and listing reportManagers see enquiries, viewings and offers per listing without building a spreadsheet.
5Listing descriptionsUseful, but saves minutes rather than deals, and needs careful fact-checking.

Local differences

Dubai versus the Netherlands.

01Dubai: WhatsApp first

Most enquiries come in through the big portals and WhatsApp, in English and Arabic, often in the evening.

02Dubai: advertising rules

Listings advertised in Dubai fall under DLD and RERA rules, including advertising permits. The agent must only repeat listing details from your approved records.

03Netherlands: portals and email

Enquiries arrive through Funda, your own site and email, in Dutch and English; WhatsApp is growing.

04Netherlands: privacy and calls

Lead data falls under the AVG. Phoning people with a commercial offer now needs prior consent, so follow-up runs on the channel the lead used.

Measuring it

Know if it worked within a month.

Before you start, write down your median time to first reply and the share of enquiries that end in a viewing. After four weeks with the agent, compare the same two numbers on the same lead sources. That is the target we put in writing in the Blueprint.

FAQ

Common questions.

Will an AI agent annoy buyers?

Not if it answers useful questions quickly and hands over to a person when asked. It is labelled as an assistant from the first message.

Can it connect to the portals?

Usually through the lead emails or exports the portals send to agencies, or an API where your portal account offers one. We check this per portal.

What does it cost?

A lead follow-up agent is one system from €3,900 (AED 15,900) excl. VAT, with Run & Care at €490 (AED 1,990) a month.

Is AI valuation not more valuable?

It can be useful as an internal starting point, but a seller expects an agent's judgement, and a wrong automated figure is costly. We would not start there.
